Terms and Conditions

  1. Medical and travel insurance is mandatory. Medical insurance must cover personal injury, death, medical expenses and emergency repatriation. For travel insurance, flight cancellation, loss of luggage and personal effects. Please write down the contact details of your medical insurer and next of kin and put in a sealed envelope. This will be given to the tour manager on arrival in Georgia. The envelope will only be opened in the event of a medical emergency – otherwise the envelope will be returned to you unopened, upon your departure.
  2. We strongly advise you to take out cancellation insurance at the time of your booking for your own protection. If you fail to join the tour, or join after the departure date, or leave prior to the tours completion, we are not obliged to make any refunds for the unused services.
  3. A 10% deposit is required to confirm your booking. This deposit is fully refunded up until the total tour amount is required.
  4. The tour will only go ahead if we receive the minimum number of 6 guests. The total number of guests will not exceed 10.
  5. The full cost of the trip must be paid 45 days before the departure date of the April and September tour.
  6. Free cancellation and full refund of any monies deposited towards the tour, plus ability to change from single room occupancy to double/twin share (or vice-versa) closes on March 8th for the April 22nd trip 2025 and August 9th for the September 23rd trip 2025.
  7. Unfortunately we are not able to refund any payments after these dates as we will in turn have paid our Georgian hosts for accommodation/transport/dining/activities.
  8. In case extra charges occur (such as Mini Bar, Room Service, Restaurant, Damages, etc.) the accommodation service provider reserves the right to prepare a new invoice after the checkout procedure that will then be paid by the guest(s).
  9. Force Majeure This clause is intended to protect the Operator from liability in the event of unforeseeable and uncontrollable events while providing clarity to tourists on their rights and the Operator's responsibilities
  10. The tour operator (hereinafter referred to as "Operator") shall not be held liable for any failure or delay in the performance of its obligations under this agreement if such failure or delay is caused by or results from, directly or indirectly, forces beyond the Operator's reasonable control, including but not limited to:
    1. Natural disasters such as earthquakes, floods, hurricanes, wildfires, volcanic eruptions, or other acts of God.
    2. War, civil unrest, insurrection, riot, or acts of terrorism.
    3. Governmental actions, including but not limited to quarantines, travel restrictions, or any other regulations imposed by local, national, or international authorities.
    4. trikes, labour disputes, or other industrial disturbances.
    5. Epidemics, pandemics, or other public health emergencies.
    6. Any other unforeseen events or circumstances that are beyond the control of the Operator and which could not have been avoided even with the exercise of reasonable care.
  11. Consequences of Force Majeure
    1. In the event of a force majeure situation, the Operator shall promptly notify the affected tourists of the nature and extent of the event.
    2. The Operator reserves the right to:
      1. Modify, postpone, or cancel the tour itinerary, including changes to destinations, accommodations, transportation, or activities as deemed necessary for the safety and well-being of the tourists.
      2. Offer alternative arrangements or rescheduled tour dates where feasible and appropriate.
      3. Provide a refund or partial refund as determined by the Operator based on the circumstances and costs incurred.
  12. Limitation of Liability
    1. The Operator shall not be liable for any loss, damage, injury, or inconvenience caused to the tourists as a result of a force majeure event.
    2. Tourists are advised to obtain comprehensive travel insurance that covers cancellations, medical expenses, personal accidents, and loss of personal belongings in case of such unforeseen events.
  13. Acceptance of Terms By booking and participating in the tour, tourists acknowledge and accept the terms of this Force Majeure Clause and agree to hold the Operator harmless from any claims arising from force majeure events.

IMPORTANT INFORMATION

  1. Please note the Terms and Conditions regarding refunds and cancellation.
  2. Your main luggage can be kept at Stamba Hotel in Tbilisi when we go on our overnight trips away – so please bring a smaller bag for these occasions.
  3. Please ensure you have travel and medical insurance. Without it you will not be permitted to go on this adventure. When you arrive in Tbilisi please have this and family contacts in case of an emergency, written down in a sealed envelope, which I will return to you unopened at the end of our trip.
  4. The cost of this trip covers everything once you start on Day 1 (except what you personally purchase) apart from the Sulphur Baths on Day 2 and two dinners – the first is on Day 5 when we reach the Stamba Hotel at approximately 9pm and the other is Day 6 at the Rooms Hotel in Kazbegi, where we thought because of the stunning views you might like to dine beside one of the hotel’s balconies, or even in the village itself.
  5. Up to three glasses of wine per person are served with the evening meal – if you choose to have more this is at your own cost.
  6. There will be bottled water provided on the bus.
  7. Please let us know if you require early check-in at the Stamba Hotel and we will try and organize this for you. If you are arriving in Tbilisi from New Zealand the day before our trip starts, please make sure when you book your air tickets and choose a hotel that will pick you up from the airport. When you make your hotel booking check they can transfer you to the Stamba Hotel on the morning of Day 1.
  8. If you are coming from New Zealand the day before you might like to book into the Stamba Hotel – if this is the case we will be happy to send you the link to this hotel.
